Privacy Notice
This notice explains how Prospio collects, uses, and protects information when you visit our site or use our services.
Effective March 13, 2026
Scope and Roles
This notice applies to information collected through the Prospio website, contact and demo workflows, and the Prospio service. In many cases Prospio acts as the controller for information about site visitors, prospective customers, and account administrators. When customers use Prospio with information they choose to submit or connect, Prospio may also process that information on the customer's instructions.
If you use Prospio through an employer or client account, that organization may separately control some of the data processed in the platform. In those cases, requests about account-level or workspace data may need to be handled first through the account owner or your employer.
Information We Collect
We may collect information you provide directly to us, including your name, work email, company name, job title, messages, requests, support communications, and information you or your organization submit through Prospio.
We may also collect technical and usage data such as IP address, browser and device information, approximate location, timestamps, page visits, referring URLs, cookie or identifier data, and analytics needed to understand how the site and service are accessed and used.
Where customers upload or connect business information, we may process business records, professional contact details, website data, engagement data, CRM-related data, and other customer-submitted information needed to provide the service.
How We Use Information
We use information to operate, secure, maintain, and improve Prospio; authenticate users; provide support; respond to requests; manage accounts; monitor performance; investigate misuse; and develop or refine the service.
We may also use business contact information to communicate about onboarding, pilots, service updates, administrative notices, pricing, support matters, and, where permitted by law, product news or related marketing communications. You can opt out of marketing communications at any time.
Where we rely on applicable data protection laws such as the GDPR or UK GDPR, our legal bases may include performance of a contract, taking steps requested before entering a contract, compliance with legal obligations, consent where required, and legitimate interests such as securing and improving our services, preventing abuse, and communicating with business users about Prospio.
Cookies, Analytics, and Tracking
Prospio uses cookies and similar technologies to understand site traffic, referral sources, service usage, and site performance. These technologies may collect page-view, referrer, attribution, browser, device, and related usage information.
These tools help us improve the website and service, understand campaign effectiveness, and identify performance or reliability issues. Additional details are available in the Prospio Cookie Notice.
How We Share Information
We do not sell personal information. We may share information with service providers and subprocessors that help us operate Prospio, such as hosting providers, analytics providers, infrastructure vendors, communications vendors, support tools, and professional advisers bound by confidentiality and data protection obligations.
We may also disclose information where reasonably necessary to comply with law, respond to lawful requests, protect rights or security, investigate fraud or misuse, enforce our agreements, or support a merger, acquisition, financing, reorganization, or similar corporate transaction.
International Transfers
Some of the vendors and service providers we use may process information outside the country where it was collected, including outside the EEA or UK. Where required, we use appropriate safeguards for international transfers, such as contractual protections or other lawful transfer mechanisms.
Retention and Security
We retain information for as long as reasonably necessary to provide the service, meet contractual commitments, maintain security and audit records, resolve disputes, enforce agreements, and comply with legal obligations. Retention periods vary depending on the type of data and the purpose for which it was collected.
We use administrative, technical, and organizational safeguards designed to protect information, but no system can guarantee absolute security.
Your Rights and Choices
Depending on your location, you may have rights to request access, correction, deletion, portability, restriction, or objection in relation to certain personal information. You may also be able to withdraw consent where processing depends on consent.
If you are a customer user operating under an organization's account, some requests may need to be handled through the account owner first. You may also opt out of marketing emails using the unsubscribe link or by contacting us directly.
Children and Sensitive Data
Prospio is intended for business use and is not directed to children. Please do not submit highly sensitive personal information to Prospio unless we have explicitly agreed to process it and appropriate safeguards are in place.

For privacy questions or requests, email [email protected]. If you believe your data protection rights have been infringed, you may also have the right to complain to the supervisory authority or regulator in your jurisdiction.
If we make material changes to this notice, we will update the effective date and post the revised version on this page.
